Setting Up Xero Properly: What Most Businesses Get Wrong From Day One

You open Xero, look at the numbers, and something feels off. You can't quite say what. Maybe it's the chart of accounts full of categories you never use. Maybe your bank feed's been sitting unreconciled for months. Maybe you just don't trust what you're looking at, and you've been quietly making decisions without it.

That feeling isn't you being bad with numbers. It's almost always a setup problem, not a you problem. Xero is genuinely a great tool. Most of the frustration people feel with it comes from how it was set up in the first place, usually rushed, usually a default template left mostly untouched, usually done once and never revisited.

Here's what setting it up properly actually looks like.

The chart of accounts should reflect your business, not a template

Xero comes with a generic chart of accounts. Left as is, it can technically work, but it won't tell you much about how your business actually makes money. A proper setup means categories that match how you think about your business, so when you look at a report, it means something, instead of just being a list of numbers you have to mentally translate.

Opening balances need to be right, not close enough

If you're migrating from another system or from spreadsheets, your opening balances set the foundation for everything after. Get them wrong and every report from that point on is quietly wrong too, sometimes for years, without anyone noticing until something doesn't add up.

Bank feeds and reconciliation, set up to actually get used

A connected bank feed that nobody reconciles is just noise. Proper setup means feeds connected correctly from day one, and a rhythm for reconciling that actually happens, not one that gets abandoned after the first busy month.

GST and tax codes, the setting almost nobody checks

Wrong tax codes on transactions are one of the most common (and least visible) Xero setup mistakes. It won't necessarily throw an error. It'll just quietly make your BAS wrong, sometimes for a long time, before anyone catches it.

Connecting the tools you actually use

Payroll, inventory, Shopify, whatever runs your business day to day, Xero should be set up to talk to those tools properly, not sit disconnected while you manually re-enter things it could have pulled in automatically.

Set up properly, Xero is a hero. Set up badly, it's just an expensive way to stay confused.
